Frequently Asked Questions
Who should attend College Weekend?
All Executive Council positions and AAC members are invited to attend College Weekend, and chapters may send as many attendees as they would like. If a Vice President is unable to attend, one Director on their specialty team may take their place. Before deciding who to send, seek the insight of your AAC and, if needed, your Regional Team. Consider:
-
- Chapter budget–What funds are available to send a member? Registration and travel expenses are typically covered by the chapter.
- Needs of the chapter–Which colleges (tracks) offer the most valuable information for your chapter?
- Previous experience–Consider sending an AAC member who is within their first few years of serving and/or has not attended College Weekend before.
- Future event attendance–Recruitment Team members from chapters participating in Pi Phi’s consultant program will be invited to attend a new event, Recruitment Academy in Spring 2027. If your chapter is invited to both events and members are able to attend both, we’d love for them to do so. However, we ask invited chapters to prioritize Recruitment Academy.
What does my registration include?
Event registration includes hotel accommodations for Friday and Saturday night, all meals from Friday dinner through Sunday breakfast and program materials. Attendees are responsible for their own travel to and from the event, including ground transportation.
How do I bill my registration fees to my chapter?
Once you reach the payment screen, please select the option “Bill My Chapter”. Once selected, type in the name of the chapter, e.g., “Alaska Alpha,” to ensure the fees are billed to the chapter you are representing. Chapters will be notified of any College Weekend related charges to be deducted in a separate email, following their monthly statement.
What if I need to cancel my registration?
All requests for attendee fee refunds must be made in writing to [email protected] prior to 5 p.m. CST on December 17, 2026. Any request for registration substitution must be made in writing to [email protected] prior to 5 p.m. CST on January 6, 2027. All substitutions must be for the same College Weekend track as the member originally registered.
Do I need to do anything prior to attending?
It is required for all officers to complete their training courses on the Pi Beta Phi Online Learning Center prior to attending College Weekend.
Access the Online Learning CenterHow are hotel accommodations arranged, and can I choose my roommate or upgrade to a single room?
Hotel accommodations will be arranged for all registered attendees at the Hyatt Regency St. Louis. When registering, you may select to share a room or choose to upgrade to a single room.
If selecting a shared room, you will be given an opportunity to request a roommate or be assigned one. Headquarters staff will do their best to accommodate your request; however, we are unable to guarantee a specific roommate request. We recommend connecting with your selected roommate ahead of registration, so you can both indicate the preference. Alumnae members will be assigned alumnae roommates; collegiate members will be assigned collegiate members.
When should I plan to arrive and depart?
All attendees should plan to arrive no later than 4 p.m. CST on Friday. Sunday departures should be scheduled no earlier than 2 p.m. CST. If your travel schedule falls outside of the recommended time frames, it must be approved by your AAC and Collegiate Regional Director.
For your convenience, if you plan to arrive early or depart late and require hotel accommodations for Thursday or Sunday nights, you may indicate such when registering by selecting the ‘Early Arrival’ or ‘Late Departure’ hotel accommodation program options. An additional charge will be incurred per room per night.
How do I get to and from the hotel?
Attendees are responsible for arranging their own ground transportation. The Hyatt Regency St. Louis at The Arch offers driving directions, parking information and transportation options on their website.
Uber and Lyft are popular options in the St. Louis area, and taxis are approximately $60 each way. Laclede Cab can be reserved at 314-652-3456. Be safe and smart with traveling. When using public transportation, always try to travel with a friend.
What should I wear?
On Friday and Sunday, show your Pi Phi pride by wearing your favorite Pi Phi gear! On Saturday, attire is business casual; jeans are acceptable. Sweaters or wraps are recommended for meeting rooms as temperatures may fluctuate throughout the day. We’ll end the night with an official Pi Beta Phi Pink Party! Attendees will be encouraged to change into their provided College Weekend T-shirt along with any accessories, so don’t forget to pack your pinks!
Can I tour Pi Beta Phi Headquarters during College Weekend?
Pi Beta Phi Headquarters tours will be arranged for those who register in advance. An additional fee of $20 for the shuttle transportation will be added to your registration if you wish to reserve a spot for the Headquarters tour. Space is limited—please register early.
Tours will be offered at 1 p.m. and 3 p.m. on Friday, January 22. Tours will leave promptly at their scheduled time; the Fraternity is unable to hold a tour for delayed flights and is unable to provide refunds. If you register for the tour, logistics will be provided in your confirmation materials.
