College Weekend 2018

Registration for College Weekend 2018 will open Fall 2017!

College Weekend is a premier Fraternity leadership experience designed to educate chapter leaders and advisors on best practices in a variety of topics. Chapter leaders and Alumnae Advisory Committee (AAC) members are encouraged to attend. Through a variety of tracks, or “Colleges,” the Fraternity is able to educate chapter leaders and advisors on current initiatives or pressing issues, in addition to some position-specific training.

College Weekend will be held at the Hyatt Regency St. Louis at The Arch in St. Louis, January 26–28, 2018.

Registration

College Weekend attendees are charged a $300 attendee fee to help cover the costs of the event. The attendee fee covers the following: Friday and Saturday hotel accommodations, all meals Friday dinner through Sunday breakfast, and all program materials. Attendees are responsible for their own travel.

Given the nature of chapter election cycles, the Fraternity allows chapters to register “proxy” registrants to hold the place of anticipated attendees from their chapter (for example, to-be-elected officers). All proxy registrations should be transferred by January 16 by emailing events@pibetaphi.org. All registration fees must be paid at the time of registration. Please note the return policy below. 

Space in each of the College Weekend tracks is limited. We anticipate tracks will fill prior to the registration deadline. All interested attendees are encouraged to register immediately.

ATTENDEE FEE

College Weekend attendees are charged a $300 attendee fee to help cover the costs of the event. Important Registration Dates

December 1   Registration deadline; No registration refunds offered after this date.
December 2-15   $25 late fee assessed on all registrations.
December 15   Registration not accepted after this date.
January 16   All proxy registrations must be substituted and finalized; No registration substitutions allowed after this date.

Invoicing Attendee Fees to Chapter Monthly ACH

When the registrant gets through the registration process and to the payment screen, please select the option to “Bill My Chapter” if your fees are to be billed to the chapter. Once selected, type in the name of the chapter, i.e., AL Alpha to ensure the fees are automatically deducted from the chapter you are representing. Chapters will be notified of any College Weekend related charges to be deducted in a separate email, following their monthly statement on the first of the month.

Registration Refunds

The Fraternity is unable to offer refunds after 5 p.m. Central Time, December 1

Reimbursement for missed Programming

Attendees are expected to be good stewards of chapter funds. Unless a valid excuse is submitted to the College Regional Director 14 days prior to the event, attendees are responsible for reimbursing their chapter the full registration fee in the instance of an absence from any portion of the event. In the instance of an unexcused absence from the full event, the attendee will be expected to reimburse her chapter the cost of her flight, if applicable, however, any credit issued by the airline will be retained by the registrant.

Travel and Event Logistics

Arrival and Departure Times

College Weekend 2018 will begin with dinner at 6 p.m. on Friday and conclude by noon on Sunday. Please plan your travel accordingly by arriving no later than 4 p.m. on Friday. It is suggested that Sunday departures are scheduled no earlier than 2 p.m. 

Lodging and Meals

Hotel accommodations will be arranged by the Events and Meeting Coordinator at Headquarters. When registering, you must select to either share a room with a member from your chapter or that you would prefer to meet a new sister, which means you will be paired with another College Weekend attendee. Headquarters staff will do their best to accommodate your request, however is unable to guarantee a roommate. Alumnae members will be assigned alumnae roommates; collegiate members will be assigned collegiate members only.

Meals are provided Friday dinner through Sunday breakfast.
The Hyatt Regency DFW is offering complimentary Internet access in all guest rooms.

Air Travel

Participants are encouraged to book air travel through Travel Leaders. Please call (800) 627–9258 and ask to speak with Debbie or Pat. The Hyatt Regency St. Louis at the Arch is approximately 15 miles from St. Louis Lambert International Airport. 

Ground Transportation

Check back in Fall 2017 for details regarding ground transportation.

The Hyatt Regency St. Louis at The Arch offers driving directions on their website.

Appropriate Dress

Dress will be business casual. Nice slacks, skirts and blouses or sweaters are appropriate; jeans are not. Sweaters or wraps are recommended for meeting rooms.

Confirmation Materials

Confirmation materials for College Weekend will be sent the week of January 9, 2018, to the email address of each registrant on file with the Fraternity.
