June 25 – mid-July: Pi Beta Phi will enter a freeze period for final data transfer. Systems like SisterSearch, dues payments, memberplanet and eReports will not be accessible.

At launch, you can expect to see functions critical to chapter and club operations. We will continue to expand on the offerings and capabilities of the new system throughout the next year, as well as build out already-existing reports on a rolling basis alongside any necessary training. Frequently Asked Questions

BetaBase is Pi Beta Phi’s new member portal and database management system launching in July 2024. BetaBase, powered by Salesforce, is the industry standard in membership database technology.

As part of our Strategic Plan, Pi Beta Phi set out to identify a more engaging technology solution for alumnae clubs. As the team settled into the work, additional questions and ideas arose that grew the scope of this Strategic Plan tactic, such as: a single solution for both chapters and clubs to reduce data integrity issues; combining two learning management solutions into one that integrated with chapters, clubs, volunteer leaders and Headquarters staff; and one platform for Fraternity, Foundation and Fraternity Housing Corporation staff to benefit from shared data. This led us to a new database management system we’ve named BetaBase—a single system of membership data truth.

Since July 2023, a team of 18 Headquarters staff members have worked collaboratively to understand the data, the wants and needs, and the implications of this huge project! Along the way, we have consulted with club leaders, AAC members, chapter members and volunteers to incorporate feedback.

Yes! With the new database and member portal, previous pibetaphi.org logins will be discontinued, and a new login will need to be created by all members. BetaBase will be the new, members-only portal for the full membership to manage their Pi Phi member profile, view volunteer and giving history, manage communication preferences, find sisters, submit Recruitment Information Forms, and more. When creating your BetaBase login, we recommend you use a personal email account, not associated with a Pi Phi officer role or your campus .edu email.

On July 25, the full membership will be invited to access BetaBase, create their login and update their member profile. If a member does not create a BetaBase login right away, they will still remain in Pi Phi’s membership database and their contact information will be unchanged. A BetaBase login can be created at any time in the future.

The Pi Phi team is here to help! During regular business hours (8 a.m.-5 p.m. CDT), you can contact Pi Beta Phi Headquarters at (636) 256-0680 for technology assistance. You may also email BetaBase@pibetaphi.org for support from the Headquarters team. Finally, in the BetaBase portal you’ll see a small question mark icon in the top right corner; click that link to submit a support ticket to our expert technology vendor or view support articles.

SisterSearch as we know it will no longer be in service after the BetaBase launch; however, BetaBase will offer a new option for searching and finding Pi Beta Phi members within the portal.

After July 25, alumnae members can submit and view their history of RIF submissions all within the BetaBase portal.

On June 25, Pi Phi will begin our final data export from our current database to our new database, Salesforce. This is a common occurrence in any database transition. After that date, many of the systems that currently interact with our database will be turned off. This includes activities such as updating your Member Profile, Sister Search, alumnae dues payments and eReports. Once members begin accessing the new portal, BetaBase, in July, database activities will be restored. Pi Beta Phi has planned for this period and the general member will likely not notice significant disruptions.Though this timing is not ideal, transitioning during the summer months will allow our chapter leaders time to learn the new platform before they need to use it during the academic year.

Giving to Pi Beta Phi Foundation will be easier than ever through pibetaphi.org and our BetaBase portal. If you are enrolled in monthly donations, there will be no impact to your reoccurring gift as it is transitioned to our new platform. In BetaBase, Foundation donors will be able to view their annual and lifetime giving histories right in their member profile!

An emailed transaction receipt will be sent at the time the donation is received to the email address on your member record. Donors may experience a delay in receiving a mailed gift acknowledgement during the freeze period. Please contact our Foundation staff at fndn@pibetaphi.org to support any questions or concerns you have about gifts made in support of Pi Phi during this time.
